System Requirements

What are the System requirements?

Elements Software offers both a web (Filemaker Web Direct) and an iPad solution (Filemaker Go). The Web Direct solution works on any device that has either Google Chrome or Explorer installed. It is important to always maintain the newest version of the iPad app and to stay current with Apple iOS updates. Downloads are free from the Apple app store.

Do I have to use an iPad?

Yes. Elements was built for the iPad (9.7" screen).

Can I access from a web browser?

The Web Direct solution works on any device that has either Google Chrome or Explorer installed.

Do I need a dedicated router?

If you do not have a stable, high speed connection, it is then recommended that you have a dedicated router in the area where the logbook will be used.

What version of iOS do I need?

Stay current with Apple iOS updates.

Do I need to download an app from the Apple App Store?

Yes and it is important to always maintain the newest version of the iPad app. The app is called Filemaker Go.

Getting Started

Is there an on-boarding procedure?

Yes. The on-boarding package is emailed after purchasing. 

Can I change my login credentials?

Yes, you can change your password at any time from within Elements Software.

Can I add more user accounts?

If your user account has been granted the proper privileges, you may setup as many user accounts as needed. User accounts are categorized in 2 types: Operators & Managers.

Am I automatically logged out due to inactivity?

Elements software automatically logs out after 15 minutes of inactivity in order to minimize unnecessary concurrent connections. This increases system performance.

How do I report a problem or suggestion?

The best way to report problems or suggestions is within Elements Software. Simply click on the support button. In urgent and/or important cases contact info@elementssoftware.ca

How secure are Electronic Logbooks?

Users are identified and protected by their personal login, password and e-signature. All data is permanently stored, backed up and flattened. Optionally data can also be exported for print out at any time.

Does the Electronic Logbook work on all devices?

Only the Operator Logbook requires an iPad in order to capture the digital signature. All other features can run on devices that have web browser capability. The web direct solution works best with Google Chrome or Explorer, but as each browser is different in type and version, the experience is not consistent. The best user experience is with an iPad using the newest version of FM Go.

How can supervisors sign-off the operator logbook?

If the feature is enabled and you have supervisor access, you can sign-off the Operator Logbook by conveniently batch signing past records spread over several days. While you do have the option to sign-off on a daily basis, the batch sign approach is much more efficient. Look for the "SIGN" button within the Operator Logbook. If there are more than two days of unsigned entries, you will be prompted upon login to approve the entries.

Understanding Device Limits

How many users can connect at the same time?

Self-Hosted is one as the database is local to the device it was installed on.

 

Cloud is limited only to the number of device licenses you purchase. By default you have two.

Can I use any device?

No, Elements software was built for the iPad iOS with a 9.7" screen. You can also access the software from a computer via webdirect.

Do I need a device license per user account that I setup? I have 10 employees.

No. The licensing is based on the number of devices that connect to the database at the same time. You can have multiple users that share a single device and that would count as one device. If your facility has multiple devices and you will need simultaneous access to the database, then additional device licenses may be required.

How do I add additional licenses?

From the main dashboard within your Elements database, click on "Account". Look for Device Connections and click "Upgrade". 

Where you I see my current device limit?

Who has permission to purchase licenses?

Only the administrator can purchase additional devices. Check your User Profiles to determine who is your current administrator.

What happens after I upgrade my device limit?

Your request for additional devices will be sent to our sales department. Your additional devices will be active immediately. You will be asked to re-login to the system. An invoice will be sent to the email address you provided.

How do I reduce my device limit?

Simply contact Elements Software at sales@elementssoftware.ca and request a cancellation. Only the account administrator can request a cancellation. Your support PIN will be required.

Do device licenses auto renew

No. You will be sent an invoice annually and giving the choice to renew.

Regulatory Requirements

Do Elements Logbooks fulfill CSA code requirements?

YES! Our Operator Logbook meets CSA B51 & B52 code. It has been accepted by Technical Safety BC. View our acceptance letter from the main page.

What if I cannot access the Electronic Logbook?

Only in cases of an electronic logbook or network (WiFi) failure, provision’s shall be made for a hard bound log book to be available for recording activities within the plant.

My safety officer will not accept electronic logbooks. What should I do?

In cases like this, simply transcribe the log entry to a hard bound log book. It will satisfy your local safety officer and still allow you to take advantage of the features within Elements.

Backups & Updates

What backup options do I have available?

Your data is automatically backed-up on a secure AMAZON server daily. 

Can I export my data?

Yes. Logbook data can also be exported to PDF or Excel for print out at any time.

When are system upgrades & updates taking place?

Elements tries to minimize any interference with customers business operation. Whenever possible software maintenance tasks are maintained outside regular office hours and / or announced if needed.
